You Hired an AI Intern… But Who’s Watching It?

Let me tell you a quick story.

A business sends out a proposal.
It looks amazing—clean, polished, confident.

Exactly the kind of thing that makes you think,
“Wow, they really have it together.”

Then the client calls.

The numbers in the proposal?
The research it was built on?

👉 Not real.

The AI made them up.

Not by accident. Not vaguely.

Confidently.

This Is the Part No One Talks About

We’ve all started using AI in little ways.

  • Writing emails
  • Summarizing notes
  • Cleaning up documents
  • Brainstorming ideas

And honestly?

It’s incredibly helpful.

But here’s the part that gives me pause:

👉 Most teams are using AI… without any real guidance.

It’s like hiring a really smart intern…

…and then saying:

“Here’s everything. Just figure it out.”

The “Intern” Nobody Trained

Think about this for a second.

Would you ever hire someone and give them:

  • Full access to client files
  • Your internal documents
  • Financial data
  • Draft emails going to customers

…on day one?

With no instructions?

No boundaries?

No one checking their work?

Of course not.

But that’s exactly how a lot of businesses are using AI right now.

Not because they’re careless.

Because it feels easy. Fast. Helpful.

And it is.

But without structure… it can also create risk.

What’s Actually Happening Behind the Scenes

When AI shows up without a plan, I tend to see three things:

1. Information gets shared too freely

Someone pastes a contract into a chatbot.
Another person drops financial data in to “clean it up.”

It feels harmless.

But here’s the reality:

👉 A lot of people are sharing sensitive data without realizing it.

And depending on the tool?

That data may not stay private.

2. Tools start popping up everywhere

One person uses one AI tool.
Another uses something different.

Before long, you’ve got tools in play that no one approved… and no one’s tracking.

👉 That’s how things slip through the cracks.

3. People trust the output too quickly

This one is big.

AI sounds confident.

Even when it’s wrong.

It doesn’t say,
“Hey, I’m not sure about this.”

It just gives you a clean, polished answer.

And if no one double-checks it?

👉 That’s how mistakes make it out the door.

Here’s the Truth I Keep Coming Back To

AI isn’t the problem.

It’s actually a really powerful tool.

But it doesn’t fix messy systems.

👉 It speeds them up.

So if things are a little unclear already…

AI just helps you move faster in the wrong direction.

So What Do You Do Instead?

You don’t shut it down.

That’s not realistic—and honestly, it’s not helpful.

You just treat it like what it is:

👉 A new team member who needs guidance.

Set some simple boundaries

Which tools are okay to use?
Which ones aren’t?

Keep it clear and easy to follow.

Add a review step

This one’s non-negotiable for me:

👉 AI can draft.
👉 Humans approve.

Nothing goes out without a second set of eyes.

Be clear about what not to share

Client info. Financials. Internal data.

If people don’t know where the line is…
they’ll cross it without meaning to.

This Isn’t About Perfection

No one is going to use AI perfectly.

That’s not the goal.

The goal is simple:

👉 Use it without opening doors you didn’t mean to open.

A Quick Gut Check

Just think about your team for a second:

  • Are people using AI tools on their own?
  • Do you know which ones?
  • Is anything being sent out without review?

If you’re not sure…

That’s usually where the risk is sitting.

Where I Come In

This doesn’t need to turn into a big policy or a complicated project.

It just needs a little structure.

A little clarity.

A simple plan for how your team uses AI—so it actually helps without creating new problems.

If your team is already using AI (and let’s be honest, most are), it’s worth taking a step back and asking:

👉 “Are we using this intentionally… or just hoping for the best?”

If it’s the second one, you’re not alone.

And it’s an easy thing to fix.

If you want to talk through it, I’m here.

No pressure. No tech talk.

Just a practical conversation about making sure your “AI intern” is actually helping… not quietly causing issues.

And if you know another business owner who’s handed AI the keys and walked away…

Send this their way.

Because the businesses that struggle won’t be the ones using AI.

👉 They’ll be the ones who never decided how to use it in the first place.
